Privacy Policy

Effective date: September 11, 2026

1. Introduction

Fiji Payroll Software is a service of Khatri Consulting LLC ("Fiji Payroll," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, protect, retain, and otherwise process personal information in connection with the Fiji Payroll website, cloud payroll service, customer and administrative portals, support services, and related communications (collectively, the "Services").

This policy applies to visitors, prospective customers, customers, authorized users, employees whose information is entered into the Services, and other individuals whose personal information we process.

2. Our role when providing payroll services

A customer organization usually decides what employee and payroll information is entered into Fiji Payroll and how that information is used. For that information, the customer organization is responsible for providing appropriate notices, obtaining any required permissions, and ensuring that its collection and use of personal information is lawful. Fiji Payroll processes that information to provide the Services to the customer and in accordance with the customer's authorized instructions, our agreement with the customer, and applicable law.

If you are an employee or another individual whose information was entered by a customer organization, please direct requests concerning that information to the relevant employer or customer organization first. We will assist the customer where reasonably necessary and legally required.

For information we collect for our own business purposes, such as website inquiries, account administration, billing, security, and support records, Fiji Payroll determines how and why that information is processed.

3. Information we collect

Depending on how the Services are used, we may collect or process the following categories of information:

Account and contact information

Names, business names, work titles, email addresses, telephone numbers, usernames, account roles, organization membership, and communication preferences.

Employee and payroll information

Information entered or uploaded by customers, such as employee identifiers, contact details, employment information, pay rates, salary and wage information, hours, allowances, deductions, leave, benefits, bank-payment details, tax information, FNPF information, payroll results, payslips, reports, and year-to-date or historical payroll records.

Authentication and security information

Login identifiers, password credentials in protected form, multi-factor authentication information, session information, access permissions, sign-in activity, security events, and audit records.

Billing and commercial information

Subscription, plan, invoice, payment status, transaction reference, and customer-support entitlement information. Payment providers may process payment-card or other payment information under their own privacy terms. We do not intentionally request complete payment-card details through ordinary support communications.

Technical and usage information

IP address, browser and device information, operating system, timestamps, requested pages or features, diagnostic information, application events, and similar logs used to operate, secure, support, and improve the Services.

Communications and support information

Information contained in emails, support requests, feedback, demonstrations, onboarding sessions, training, and other communications with us.

Website information

Information submitted through website forms and limited technical information collected through cookies or similar technologies that are necessary to operate and secure the website and portals. If we introduce non-essential analytics or advertising technologies, we will provide any notice or choice required by applicable law.

4. How we use information

We may use personal information to:

  • Provide, configure, administer, maintain, and support the Services.

  • Authenticate users, enable multi-factor authentication, manage permissions, and protect accounts.

  • Perform customer-authorized payroll calculations and generate payslips, reports, files, and other payroll outputs.

  • Send service, security, support, billing, and account communications.

  • Process subscriptions, invoices, and customer requests.

  • Diagnose errors, monitor performance, prevent misuse, investigate security events, and maintain audit records.

  • Back up systems, support recovery, and maintain service continuity.

  • Improve the usability, reliability, and security of the Services.

  • Comply with legal obligations, respond to lawful requests, resolve disputes, and enforce our agreements.

  • Protect the rights, safety, property, and integrity of customers, users, Fiji Payroll, and others.

We do not sell personal information. We do not use customer payroll data for third-party advertising.

5. How we disclose information

We may disclose personal information only as reasonably necessary in the following circumstances:

To the relevant customer and its authorized users

Information may be available to the customer organization and users to whom that customer grants access. Customers are responsible for configuring and managing their authorized users and permissions.

To service providers

We may use hosting, cloud infrastructure, email delivery, monitoring, security, backup, payment, communication, and support providers that process information for us. These providers may access information only as needed to perform services for us and subject to applicable agreements and safeguards.

For legal, safety, and security purposes

We may disclose information when we reasonably believe disclosure is required by law or a valid legal process, or is necessary to protect rights, investigate fraud or abuse, address a security issue, or protect users and the public.

In a business transaction

Information may be disclosed as part of an actual or proposed merger, acquisition, financing, reorganization, sale of assets, or similar transaction, subject to appropriate confidentiality and legal safeguards.

With consent or at a customer's direction

We may disclose information when an individual consents or when a customer directs or authorizes the disclosure, including through integrations or exports initiated by an authorized user.

6. International processing

Fiji Payroll and its service providers may process or store information in countries other than the country where the customer or individual is located. Those countries may have different privacy laws. Where required, we use appropriate contractual, organizational, and technical measures for international processing and transfers.

7. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. These include access controls, authentication measures, encryption supported by our hosting environment, monitoring, backups, and procedures for responding to security events.

No method of transmission or storage is completely secure. Customers and users also play an important role in security and must protect login credentials, use multi-factor authentication when made available or required, limit access to authorized personnel, and promptly notify us of suspected unauthorized access.

8. Data retention

We retain information for as long as reasonably necessary to provide the Services, maintain business and security records, comply with legal and contractual obligations, resolve disputes, and enforce agreements. Retention periods vary according to the type of data, customer instructions, operational requirements, and applicable law.

When an account ends, customer data may be deleted or returned in accordance with the applicable agreement and our established procedures. Residual copies may remain in protected backups for a limited period and will be removed through normal backup rotation, unless retention is required for legal, security, fraud-prevention, or dispute-resolution purposes.

Customers are responsible for exporting information they need before account closure or the end of any agreed retrieval period.

9. Your choices and rights

Depending on applicable law and the context in which we process information, an individual may have rights to request access, correction, deletion, restriction, objection, or a copy of certain personal information.

If your information was provided to Fiji Payroll by your employer or another customer organization, submit the request to that organization first. If Fiji Payroll controls the relevant information, contact us using the details below. We may need to verify identity and authority before acting on a request. Some requests may be limited where retention or processing is required or permitted by law, necessary to protect others, or subject to another lawful exception.

You may opt out of promotional communications by using the unsubscribe method provided in the message or by contacting us. You may still receive service, security, billing, and other non-promotional communications.

10. Children's information

The Services are provided to organizations and their authorized business users, not directly to children. A customer may enter information about employees, beneficiaries, or dependants, including information relating to a minor, where appropriate for payroll or employment administration. The customer is responsible for ensuring that this processing is lawful and appropriate.

11. Third-party websites and services

The Services may contain links to third-party websites or support customer-directed exports or integrations. This Privacy Policy does not govern a third party's independent privacy practices. Review the applicable third party's privacy notice before providing information or enabling an integration.

12. Changes to this policy

We may update this Privacy Policy to reflect changes in the Services, our practices, or legal requirements. We will post the revised policy and update the effective date. If a change is material, we will provide additional notice where required by law or our agreement with the customer.
